Nail Down the Basics Early

Pick dates that work for the tightest schedule firstSchool terms, work blackout periods, and any medical treatment schedules for older relatives usually box you in more than anyone realizes; build around those, not around who's easiest.
Set a realistic headcount and ages before you look at anywhereA trip that works for 6 people sleeping in two rooms looks completely different from one for 14 across three households.
Agree on a total budget and how costs splitDecide upfront whether it's even shares, per-family, or grandparents-treat, and put it in writing; money assumptions are the single biggest source of family trip resentment.
Start planning 6–9 months out for anything needing a big property or peak-season flightsStart planning 6-9 months ahead to secure properties that sleep a large group — the good multi-bedroom houses and connecting hotel rooms get booked first.
Choose a destination that mixes high-energy and low-key optionsYou want a mix of high-energy options, like theme parks or the outdoors, balanced with calmer activities that appeal to grandparents or younger kids.
Ask every generation what they actually want, not what you assume they wantA quick round-robin question in the group chat heads off the "I only came for the grandkids" resentment later.

Book the Big Pieces

Book accommodation with real bed configurations checked, not just bedroom countConfirm actual bed types and sizes and whether there's a ground-floor bedroom or step-free bathroom for anyone who needs it — a listing that says "sleeps 10" can still mean bunk beds and a pull-out couch.
Check for a full kitchen if the group is large if self cateringThree meals a day out for a dozen people gets expensive and exhausting fast; a house with a real kitchen and dining table earns its cost back quickly.
Ask about group and family rates before paying rack rateMany resorts, vacation rentals and airlines offer discounts for large groups, so ask when you book rather than assuming the listed price is final.
Book flights on the same itinerary where possible if needs assistanceKeeping everyone on one booking makes it far easier to request wheelchair help, seat elderly relatives near a bathroom, or rebook everyone together if something's delayed.
Request mobility or medical assistance with the airline in advance if anyone has mobility hearing or sight limitationsCall ahead rather than showing up and asking; airlines need lead time to pre-arrange wheelchairs, early boarding, and gate escorts.
Buy travel insurance that covers trip cancellation and emergency medical/evacuation if international or costly tripsTrip Protection Choice is a great option for seniors, thanks to its high coverage limits across important categories like trip cancellation, trip interruption, emergency medical and emergency evacuation. Check whether kids are covered free under a policy, since some plans cover children 17 and under for free when they're traveling with a parent or a grandparent.
Check passport expiry dates for everyone traveling internationallyMany countries require six months' validity beyond your travel dates; renewals for older passports or first-time child passports can take weeks, so check this the day you decide to go.
Get a notarized travel consent letter if a grandparent is flying alone with a grandchild if international travel with a minor and only one or no parent presentSome border agents and airlines ask for written permission from the non-traveling parent(s); carrying it avoids being turned away at check-in.

Sort Out Health and Comfort

Collect a list of medications, dosages, and prescribing doctors for anyone with ongoing conditionsKeep a copy on paper and on a phone; if a medical issue comes up abroad, this saves precious time in an unfamiliar pharmacy or ER.
Pack extra medication and split it across bagsDelays and lost luggage happen; running out of a daily prescription mid-trip is a real risk, not a hypothetical one.
Confirm travel insurance covers pre-existing conditions if relevant if older travelers with chronic health issuesStandard policies often exclude pre-existing conditions unless bought within a specific window after booking; ask directly rather than assuming.
Plan the daily schedule around energy levels, not itinerariesSchedule activities for morning when older adults typically have more energy, then allow downtime after lunch — this rhythm works for toddlers who need naps too.
Build in one shared "anchor" activity a day and leave the rest optionalSchedule one or two activities daily that bring everyone together, then leave open time so smaller groups can break off based on energy or interest — nobody has to do everything as one giant pack.
Check accessibility of key sites in advance if anyone uses a wheelchair cane or walkerA quick call or website check on step-free access, elevators, and accessible bathrooms saves a frustrating discovery on the day.
Plan realistic bathroom and rest stops into any road trip or touring dayFrequent stops for medication with food and bathroom breaks matter more than shaving time off the drive.

Pack and Prep the Details

Share a group document with flight times, addresses, and emergency contactsEveryone traveling separately or meeting at the destination needs the same information, especially if plans change last-minute.
Confirm who's carrying copies of insurance details, prescriptions, and ID for each personDon't let one person be the sole holder of critical documents for the whole group.
Pack a shared first-aid kit with basics plus anything specific to your group's needsInclude pain relievers, motion sickness remedies, and bandages, plus anything an older relative or young child specifically needs.
Confirm dietary needs and allergies with everyone before booking meals or a rentalIt's much easier to book a kitchen-equipped place or pre-warn a restaurant than to scramble once you've arrived.
Agree on a "downtime is fine" rule before you goGive people explicit permission to skip an outing and rest — this single conversation prevents most multigenerational trip friction.
Confirm final headcounts and any last changes with everyone a week outCancellations, new mobility needs, or schedule changes are common right before a big trip — a final check avoids surprises at the airport.
